With the ratification of the ASEAN Charter in December 2008, the ASEAN Secretariat (ASEC) had embarked on an organization restructuring that is aligned to the requirements of the Charter and their respective Community Blueprints, namely: the ASEAN Political and Security Community (APSC), the ASEAN Economic Community (AEC), and the ASEAN Socio-Cultural Community (ASCC).

Cipta Cara Padu Foundation

The Cipta Cara Padu Foundation is a not for profit Organization is urgently need and searching for the right candidate to fill in a Receptionist /Administration Officer position. 
Duty station : Jakarta.

Under the guidance and coordination with the Finance Manager, the Reception/Administration Officer duties and tasks is to provide coverage for organization’s administration matters including current projects that include but not limited to: 

1. Handle incoming/outgoing telephone calls and requests. 
2.Undertake routine administrative and clerical tasks, including the preparation of official letters and documents, and arrange for their distributions
3.Handle all incoming mails/packages and preparation of outgoing mails/packages. 
4.Typing documents including prepare minutes meeting 
5.Making photocopy and other materials. 
6.Making travel arrangement for staffs, consultants and guests including air ticket reservations, hotel reservations, airport pick ups, transportation bookings etc.
7.Assisting in making logistical arrangements for workshops, trainings, and meetings Provide assistance for project’s documentations
8.Schedule appointments, maintain calendars for organization/project’s purpose,
9.Handling procurement process: create Purchase Orders, Purchase Requests, and Bid selections
10.Prepare budget activities
11.Provide support to project field staff regarding preparation of activities and event in the field (hotel reservation and other related matters)
12.Collect and review Travel Expense Report staff including consultant
13.Orders, maintains, and distributes office supplies
14.Perform other general administrative and clerical support.

Qualification:
* Graduate from secretarial or business studies 
* Minimum 3 year experience in office administration with NGO or INGO 
* Knowledge of administrative and clerical procedures including reservation and organizing event
* Excellent interpersonal, communication, and organization skills including with government or other important partners 
* Preferably experienced working with USAID project including knowledge in branding and marking 
* Pleasant personality and independent 
* Proficiency in Microsoft Office Applications 
* Competencies: Good oral and written communication skills in English and Bahasa, willingness to learn, possess integrity, accuracy, analytical, pro-active, meticulous, and able to work as part of the team.

The position we are looking for is: Receptionist/Admin Assistant (code: RA Jkt) – 1 post, based in Jakarta The post holder will be report to Travel & Visa Officer. She will responsible to support the front office function and administrative services. Job Responsibilities: · Core Responsibilities & Duties 1. Keep the reception area in neat and representative condition. 2. Greet visitors and direct them to designated staff. 3. Take incoming calls and forward them to specific extension. 4.
