Greenpeace opened our first office in Southeast Asia in 2000. In that time we have led successful campaigns throughout the region, securing fresher air, cleaner water and a healthier environment through changing industry practices and government policies. Greenpeace actively campaigns across the region to catalyze an energy revolution, protect ancient forests and our oceans, create a toxics-free future and create a shift to sustainable agriculture.

Greenpeace has three offices in Southeast Asia—in Thailand, Indonesia and the Philippines and each office is composed of five departments: Campaigns, Fundraising, Communications, Mass Mobilization and Organizational Support.  Currently, Greenpeace has more than a 140 staff across the region, excluding the direct dialogue fundraisers.




THE POST: ASSISTANT TO GLOBAL PROJECT LEADER OF INDONESIA FOREST
                                    
Job Summary:

The purpose of the role is to provide administrative and organizational assistance to the Global Forests Campaign Project Leader (PL) as well as the campaign team in order to enable the effective functioning of the Forests campaign unit in accordance with the campaign strategy.  The role requires an individual with a professional, intelligent and proactive approach, capable of working with a high degree of autonomy, a positive attitude and extensive attention to detail.  The job also requires professional sensitivity as well as maturity in day-to-day dealings with stakeholders and colleagues. Ideally, the individual should have extensive professional experience in this or in a similar role.
This is full time based position with intial 1.5 years fixed terms
Main Responsibilities:
1.       Project Leader (PL) Support
·         Manage all matters relating to the administration of the PL’s agenda and obligations according to good business practice, to enable him to work efficiently and effectively.
·         Organise travel and appointments for the PL, optimising use of time in a given location.
·         Monitor and prioritize PL’s correspondence and initiate draft responses when needed.

2.       Campaign Support
·         Arrange, co-ordinate and assist with all aspects of campaign meetings as directed, within budgetary constraints to enable efficient and effective delivery of meetings. Includes organizing venues, ensuring availability of meeting supplies, minute-taking and active follow-up on action points from meetings.
·         Act as proofreader of documents, presentations, correspondence when necessary and do translations of documents from Bahasa to English and vice versa.
·         Keep an inventory of campaign materials. Organize distribution of campaign materials.

3.       Communication
·         Act as first point of contact for internal and external queries/requests to the PL and keep informed of organisational developments in order to filter communication to the PL and the team.
·         Respond to internal and external requests for information.  Ensure accurate and relevant campaign information is easily accessible.

4.       Administration
·         Do the administration of mailing lists and ensure contact lists are updated.
·         Maintain a filing system.
·         Ensure team’s time sheets are done in an accurate and timely manner.

WORKING HOURS
Normal hours of work for full time Employee will be forty (40) per week or (5) days in a week, at 8 hours per day excluding an hour lunch break. This will be from Monday to Friday, between the hours of 9:00 am to 6: 00 pm.Ordinary hours of work may be varied as agreed between staff and the line managers.

LEAVE
A permanent employee will be entitled to the following leaves:
Annual Leave: 20 days
Parental Leave:  As per labor laws and Greenpeace policy
Long Service Leave: 2 months paid leave after 5 years of continuous service
                Compassionate leave: maximum of 5 days for the death of significant others

SALARY
In determining salary offer for this position, Greenpeace applies its Salary Grading Process, taking into consideration the job description and applicant’s previous experience, and the organization’s salary grade.

Swisscontact

The Sustainable Cocoa Production Program (SCPP) is a large Public Private Partnership (“PPP”) in Indonesia which was established in January 2012. The Project is financed by the Swiss Secretariat for Economic Affairs SECO, The Sustainable Trade Initiative IDH, the Embassy of the Kingdom of the Netherlands, the International Fund for Agriculture Development IFAD, and six Private Sector Companies from the cocoa sector for the duration from 2012 – 2015. The Program works directly with 60,000 cocoa farming households in six Indonesian Provinces to improve farm productivity and livelihood conditions.

For our Swisscontact SCPP-Program in Indonesia, we are looking for an:

Human Resources and Admin Assistant

TASK:
Supporting and Assisting the Human Resources and Administration department of the SCPP and MCA Program.
 
Task, Authority, and Responsibility
Administration Tasks:
  • Assist the Human Resources and Administration Officer on administration rules;
  • Liaise with flight agencies/travel agent to collect updated information, record flights/& hotel booking.
  • Assist the Human Resources and Administration Officer for stationery office stock, office consumable, requisitions and liaise with Procurement Unit & Finance Unit;
  • Assist the Human Resources and Administration Officer for payment of utility bills for office;
  • Assist Human Resources and Administration Officer to manage and prepare necessary material for meeting, conference calls, take, prepare and distribute minutes from meetings
  • Responsible for keeping filing system of Administration documentation
  • Supervise and manage the office attendants.
  • Perform other administrative duties
 
Human Resources Tasks:
  • Assist the Human Resources and Administration Officer for supporting and handling the recruitment process, extensions, and documentary support. Ensure usage and approval of relevant authorization forms;
  • Responsible to handle appropriate medical and insurance systems are in place;
  • Assist the Human Resources and Administration Officer on Human Resources rules;
  • Responsible filing HR documents such as monthly time sheets for all staff, leave forms, tracking the leave balances regularly and related HR documents.
  • Maintains human resources records by recording new hires, transfers, terminations, changes in job classifications, merit increases; tracking vacation, sick, and personal time;
  • Backstop other members of Human Resources and Admin Team in absences or when workload dictates;
  • Others work that may assigned by the supervisor.
 
Communication, Supervision, and Reporting
  • Participate in various in inter-agency working groups and task forces relating to HR policy development, coordination and harmonization.
  • Coordination with all related staff unit in term of employment and office operational.
 
Education/Qualifications
Bachelor's degree in Human Resources or equivalent  from an accredited academic institution, preferably in Law, Public Administration, Human Resources Management or a related discipline.
 
Experiences
  • At least 3 years of progressively responsible experience in human resources management, program management or a related area is required. Experience in policy development and implementation is required, including generalist and HR Administration experience (recruitment, selection, employee relations, compensation and benefits, training and development)
  • Experience in change management, including development and implementation of communication strategies, or in Human Resources management preferably in an international, non-profit environment.
  • Experience with extensive human resources support function in non profit organization
 
Skills/knowledge
  • Strong organizational, planning, management skills and experience working inter-culturally.

EIJKMAN

Project title: Intermittent Screening and Treatment or Intermittent Prevention Therapy for control of malaria in pregnancy in Indonesia (STOPMIP)

The positions offer opportunities for motivated candidates to join an international collaborative project between the Eijkman Institute for Molecular Biology and the Liverpool School of Tropical Medicine, UK. The Eijkman Institute is a prestigious well established internationally acclaimed research institute advancing and contributing to infectious and non-infectious disease based scientific research. Liverpool School of Tropical Medicine is an international centre of excellence with up to date access and expertise in tropical infectious diseases making them a world leader in their field.

Computer literacy, time management and organisational skills and ability to work both collaboratively and independently across a multi-disciplinary team are essential. Good command of written and spoken English is necessary for the roles below;

Research Assistant [Medical Doctor]

Purpose: To work under the mentorship of the project Principal Investigators to ensure the study is implemented according to the clinical trial protocol and support day to day research activities.
Field based fixed term for 12 months extendable for 2.5 years

Qualification: Bachelors Medical degree or higher
Current Medical Practitioner License valid in Indonesia

Additional merit: work experience in rural settings 3 months or more. Knowledge in infectious diseases or public health is desirable.

The successful candidate will be based in South West Sumba district. He/she is open to learning new skills. Responsibilities include

- Assist the PIs in the preparation and translation of consent forms, clinical record forms and preparation of
SOPs.

- Engage in the training of the study team with guidance from the PIs

- Managing participant enrollment and supervise human sample collection and data entry

- Assist in the logistics and management tasks.

II. Organizational Context and Scope
Under the direct supervision of Programme Coordinator (Makassar, Bali, Manado, Kupang) for administrative matters, under supervision of Senior Migration Health Physician (SMHP) for technical guidance, and overall supervision of Senior Migration Health Advisor (SMHA), the Health Team Assistant will assist in the planning, implementation and monitoring of Health components at regional and local level in close coordination with the relevant units.
 

III. Responsibilities and Accountabilities
1. Assist SMHP to ensure that all health components of the project are implemented in line with logical frame works.
2. Support monitoring and evaluation health programme for asylum seekers/refugees/ irregular migrants under IOM care (IOM beneficaries) in Eastern parts of Indonesia (Makassar, Manado, Jimbaran, Kupang) by providing compiled monthly report in timely manner.
3. Assist in establishing, maintaining and monitoring health assistance for beneficiaries in IDC and community accommodation in Makassar by providing weekly field visitation 
4. Liaise with IOM panel health facilities (primary, secondary and tertiary care facilities) to maintain quality assurance respecting IOM procurement and financial procedures and regulations 
5. Liaise with relevant (health) authorities regarding the health issues of IOM beneficairies including their voice as well as inline within IOM Operations guideline 
6. Ensure that each location identifies and make necessary arrangements with secondary and tertiary care facilities for referral of migrants while respecting IOM procurement and financial procedures and regulations.
7. Ensure that IOM health assistance for beneficiaries adheres to essentials of primary care principles, rational utilization of secondary and tertiary health care.
8. Provide support on budgeting and verifying day to day operational needs in providing primary care based health service provisions and facilitation for preventive care and accessing secondary and tertiary care services including payment cycle to implementing partners.
9. Ensure that emergency medical referral systems are establish in all locations to provide a time efficient medical attention to emergency medical needs in coordination with relevant authorities and IOM Health/Operations staff in the field.
10. Manage need assessment, and health behavior of irregular migrants on a regular basis and inform SMHP on intervention such as health promotion and other needs on a quarterly basis. 
11. Perform such other duties as may be assigned.
