Project title: Eijkman - LSTM Collaborative Project

The positions offer opportunities for motivated candidates to join an international collaborative project between the Eijkman Institute for Molecular Biology and the Liverpool School of Tropical Medicine, UK. 

The Eijkman Institute is a prestigious well established internationally acclaimed research institute advancing and contributing to infectious and non-infectious disease based scientific research. Liverpool School of Tropical Medicine is an international centre of excellence with up to date access and expertise in tropical infectious diseases making them a world leader in their field.

Computer literacy, time management and organisational skills and ability to work both collaboratively and independently across a multi-disciplinary team are essential. Good command of written and spoken English is necessary for the role below;

Administration Officer
Purpose: Administration Officer is responsible to provide administrative and secretarial support to the co-PIs and the Research Management Team for both STOP MiP and REACHOUT projects. S/he must be flexible and conduct the work in the highest possible standard in a professional and ethical manner with competence, accountability and integrity. The successful candidate will be based in Jakarta. 

Qualification: 
Essential: Bachelors degree or higher.
Office administrative experience of two years or more
Fluency in written and spoken English and Bahasa
Computer literacy in managing MS word, Excel and Power Point
Exceptional interpersonal, organizational and communication skills

Responsibilities include:
• Perform routine administrative duties and clerical support to the PIs and research manager
• Deal with internal and external correspondence. 
• Organises regular and special committee meetings, preparing any required materials and meeting agendas
• Act as recording secretary in internal and external project meeting.
• Manages and maintain files and work planning
• Process orders for supplies and ensure up-to date completion of inventory of supplies
• Schedules interviews and checks references, CVs for hiring staff and that of employed staff
• Assists in organising of training schedules and the development of training materials related to the project
• Process travel schedules, flight bookings for both domestic and international and for partner travel
• Reviews and process all expenses claims of the project including travel claims
• Manages some book keeping items under the direction of the Financial Officer
• Assist in the logistics and management tasks if so requested
• Perform other related duties incidental to work described here
