The Wildlife Conservation Society (WCS) has a distinguished history of scientists exploring and saving wildlife in some of the most remote and wild places remaining on Earth. WCS has long recognized that successful conservation requires a long-term commitment to individuals and places. Such a commitment has defined the culture and style of the Global Conservation Program, including the Indonesia Program.

The Wildlife Conservation Society – Indonesia Program (WCS-IP) has significantly grown over the last decades, and contributed substantially to the conservation of biodiversity in Indonesia. We currently work in several landscapes in Sumatera and Sulawesi where we aim at protecting threatened species and their habitat. In order to achieve our overall goal of saving wildlife and wild places, WCS-IP is currently seeking for qualified candidates to fill the following vacancy:
Position:               Personal Assistant to Country Director
Based in :              Bogor office
Contract period:   1 year with possibility of extension
Job Summary:
The Personal Assistant is responsible for providing administrative; clerical services, as well as logistic support for Country Director of WCS-IP in Bogor and to carry out these services in an effective and efficient manner.
Responsibilities:                                                                                                                
  • Be in charge of the personal administration contact for the Country Director
  • Coordinate all logistical aspects of Country Director’s daily activity, including arranging travel, processing travel clearances, handling cash advances and settlement etc.
  • Coordinate, create and moderate all material for social media outlets such as Blog, Facebook, Twitter, Instagram,  Youtube
  • Support in maintenance of documentation relating to the periodical reporting such as monthly, trimester and yearly progress report.
  • Maintain workspace and record management system
  • Assist to setup meeting and organize logistical support for meetings, workshops, missions and events
  • Take note on and provide proper follow up with action items after all meetings
  • Label and maintain all administrative files including travel clearances/itineraries  and all other non-accounting related documentation
  • Together with HR & Adm. Coordinator, organize and in charge for events as requested by Country Director.
  • Provide secretarial services for the Country Director  from time to time
  • Undertakes other tasks as deemed necessary in line with the goal of providing management support to the Country Director.
Requirements:
  • Diploma Degree in Administration or equivalent experience in a similar position with an NGO or INGO. ( fresh graduated are welcome )
  • Computer skills mandatory. Proficient in Microsoft Office Applications.
  • Good administrative/office management skills
  • Interpersonal skills, solid programming, financial and organizational development skills; and excellent analytical and financial planning skills 
  • Strong analytical and interpretative problem solving skills
  • Able to multi-task, establish priorities and meet deadlines
  • Able to work with minimum supervision
  • Good oral and written communication skills. English and Bahasa-Indonesia
  • Concern for wildlife conservation & environmental issues is essential.
