SUPPORTING OFFICER TO COUNTY REPRESENTATIVE 

(6 months Fixed Term Contract, with possibility of extension)
Logistics/Administrative key tasks and responsibilities:
    • Responsible of the support service in administration, logistics and general affairs of Italian Red Cross - Jakarta Office;
    • Performs general office/secretarial duties autonomously;
    • Be responsible to record work expenses of Delegation by grouping bills, entering data in excel sheet, making photocopies before sending original bills, according to Italian Red Cross procedures;
    • In charge of all the purchase according to Italian Red Cross procedures;
    • Prepare price quotations in the market when requested;
    • Responsible of office supply / stationary;
    • Tickets and accommodation booking for Italian Red Cross employees;
    • Monitor the arrangement and expiry of VISA and KITAS of delegates. Coordinate accordingly with IFRC;
    • Maintain filing system of financial and narrative reports from PMI;
    • Coach PMI’s finance staff at Pusat, Chapter and Branches level for all financial related issues, according to Italian Red Cross requirements;
    • In coordination with Finance and Project staff from PMI, ensure that financial and narrative reports are submitted timely;
    • Check and monitor funds transferred from Rome to PMI;
    • Ensure that fund requests of each project are submitted on time by PMI;
    • Check financial and narrative reports produced by PMI, and translate into English where necessary;
    • Check PMI’s bank account, keeping tracking table of transferred funds to PMI Pusat and to Chapters and Branches;
    • Closely monitor on the movement and remained balance of funds
    • Perform other tasks as required by the program 
    Programme
key tasks and responsibilities:

      • Technical liaison with Division, Bureau and Units of PMI NHQ and ensuring that all obligations with respect to the Italian Red Cross-PMI program agreement are adequately carried out;
      • Technical support to PMI chapters and branches in the implementation of program;
      • Technical support to Italian Red Cross in developing, testing and implementing program's monitoring and evaluation tools, including regular visit in coordination with PMI and other partners;
      • Participation in coordination meetings and workshops with external parties, including handling the organization of events and workshops as necessary as well with organization team;
      • Ensure effective information-sharing and good collaboration with local, national and international DM counterparts;
      • Produce accurate, regular and timely reports for the Italian Red Cross (weekly, monthly) and ensure that clear information about the program is regularly made available;
      • Provide support to Country Representative in document and correspondence preparation and follow-ups;
      • Handles minute-taking of meeting and reports;
      • Drafts and types correspondence, ensure interpreting and translation as needed;
      • Technical support for the development of project/program’s exit strategy, ensuring that the outputs of the project(s) are adequately sustained within the support from local Government;
      • Produce final reports that include appropriate archiving of all project/program’s documentation;
      • Perform other tasks as required by the program

      Qualification & Experience
        • Preferred University degree in relevant discipline (development management, management, etc)
        • The candidate is required to be a problem solver, mature, Patience, flexible, dedicated, efficient, articulate and systematic as well as possess a strong leadership 
        • Work experience with the PMI approximately for 3 years is preferred
        • Experience in Program Management (Planning, Budgeting, Monitoring and Evaluation and Reporting) for 3 years is preferred
        • The candidate possesses basic financial accounting knowledge
        • Good communication skills (fluency in both oral and written English and Bahasa Indonesia are required)
        • Trustful person
        • Good knowledge of Microsoft (word, Excel, PowerPoint) 
        • Experience in development work is required 
        • The Candidate should be able to work in a team as well as on an individual basis
