International Organization for Migration (IOM) Indonesia is looking for Project Assistant according to the terms of reference below.

Position Title : Project Assistant
Classification : General Service Staff, Grade 5
Project : Community Liaison Team Project to Help Promote Australian Government Messaging to Potential Irregular Migrants Phase II (CLO2)
Duty Station : Jakarta, Indonesia
Type of Contract : Special All Inclusive Contract, 6 months, with possibility of extension (The first three months will be considered as probation period. The tenure of contract of internal candidate holding a Fixed Term contract will remain unchanged).
General Functions
Under the direct supervision of the Project Manager and the overall supervision of Deputy Chief of Mission, the Project Assistant will be responsible for providing planning, reporting and donor/government liaison activities as part of the Community Liaison Team Project to Help Promote Australian Government Messaging to Potential Irregular Migrants Phase II (CLO2) project:
1. Maintain regular liaison with Officials at the Indonesian National Police (INP) and Directorate General (DIRGEN) of Imigrasi.
2. Maintain regular liaison with project community liaison officers (CLOs) in locations around the country, and with project sub-contractors when requested by the Project Manager.
3. Compile and prepare into the existing reporting template the biweekly field-office reports submitted by CLOs.
4. Represent IOM in meetings, if/when requested by the Project Manager and coordinate meetings, workshops and functions as needed.
5. Conduct presentations about the CLO2 project to GoI counterparts when requested by the Project Manager.
6. Draft correspondence for the projects and, when required due to circumstances, prepare travel, and security clearance documentation for CLOs.
7. Assist in development and testing of outreach materials/approaches for CLT2.
8. Draft letters related to securing INP and/or DIRGEN approval for project-related field work, interviews etc.
9. Ensure the quality of English-Bahasa Indonesia translations of project materials and provide interpretation services if needed.
10. Undertake other duties that maybe assigned from time to time are commensurate to the position.
Desirable Competencies
Technical
a). Knowledge in assisting emergency operations activities; b). proven ability and experience in liaising with UN, Government Departments/Authorities and other international organizations; c). experience in preparing official documentation relating to project document, donor report, administration, procurement, finance and security. d). proficient in computer applications: Ms-Office.
Behavioral
a). Ability to prepare clear and concise reports; b). Excellent written and verbal communications skills c). proven effective organizational skills and abilities to establish priorities and plans; d). ability to work under pressure and cope with deadlines; e). proven presentation skills and good interpersonal skills; f). accountable, high loyalty and ability to work with a minimum supervision as well as in a team; g). ability to work effectively and harmoniously with teams in a multi – cultural environment.
Desirable Qualifications:
University (S1) degree in Law, Economics/Business, Political/Social Science or Communications/ Journalism. At least five years of work experience in any of these fields, Familiarity with IOM’s administration and project coordination functions.
Language
Fluency in English and Bahasa Indonesia, both oral and written.
