Greenpeace

Greenpeace, one of the world’s most respected and dynamic organizations, is an international non-profit global campaigning organization that acts to ensure the ability of Earth to nurture life in all its diversity.  At the heart of Greenpeace’s campaigns is the tradition of non-violent, direct action against environmental abuse and destruction.

For over 40 years, Greenpeace has been successful in our campaigns to reverse environmental degradation by bearing witness to environmental destruction and exposing and confronting environmental abuse. Greenpeace campaigns have been vital in informing government policies on the environment and effecting changes in business practices which lead to various environmental problems.

Greenpeace in Southeast Asia

Greenpeace opened our first office in Southeast Asia in 2000. In that time we have led successful campaigns throughout the region, securing fresher air, cleaner water and a healthier environment through changing industry
practices and government policies. Greenpeace actively campaigns across the region to catalyze an energy revolution, protect ancient forests and our oceans, create a toxics-free future and create a shift to sustainable agriculture.

Greenpeace has three offices in Southeast Asia—in Thailand, Indonesia and the Philippines and each office is composed of six departments: Campaigns, Fundraising, Communications, Mass Mobilization, Organizational Support and Human Resources.  Currently, Greenpeace has more than a 140 staff across the region, excluding the direct dialogue fundraisers.

THE POST:  OFFICE MANAGEMENT OFFICER

Purpose of the job Ensure an efficient administrative management of the Indonesia Office in supporting Indonesia's smooth operation. These include provision of administrative supports, travelling and accommodation arrangement, manage and maintain office space and facilities, handle central procurement, etc.
Main responsibilities:
1. To take leading role in managing and providing excellent office services and facilities to Greenpeace staff to support GPSEA smooth operation which includes the following, but not limited to:
-Incoming and outgoing communications coordination (phone calls, mails, couriers, bills)
-Office equipment maintenance, include requisition and purchases
-Office supplies and stationeries, include requisition and purchases
- Maintain and manage office utilities, reception area, office space, working area, meeting rooms and other office
facilities
- Other as required in providing excellent office facilities
2. Responsible in all travel and accommodation arrangements as required by GPSEA staff and overseas guests who travels into Indonesia,  in consideration of the cost and the existing policies. This includes provision of travel insurance for GP staff and volunteer when they have campaign activity
3. To provide and coordinate for all training, meeting, VC and conference room of Indonesia Office.
4. To assist in Central Procurement function, as required by Line Manager
5. Manage office operations budget to be in line with approved ODP and manage office Petty Cash.
6. Assist in the implementation/enforcement of Office policies, procedures, programs, including Green office Policy, Security Policy, CO2 Reduction Program
7. Responsible to report CO2 emitted by Indonesia office and to comply to report requirements.
8. Assist in designing and implementation of Office security (including office security training, fire training and other security protocols
9. Other duties as assigned by the line manager

Essential skills required:
-Service minded person with Bachelor's degree in any field
-Minimum 3years experience in office administration and management
-Familiarity in using office equipment’s as well as budgeting management purposes
-Ability to handle multi tasks, learn fast, work well under pressure with various deadlines
-Ability to communicate in English
