Chemonics

Chemonics seeks a Training Assistant for the USAID-funded Indonesia Marine and Climate Support (IMACS) project in Indonesia. The project aims to sustainably manage Indonesia’s marine and coastal ecosystems.

The Training Assistant will assist with the short-term in-country training requirements for the IMACS project in a holistic manner. The position of Training Assistant will be responsible for assisting the technical team and the operations team with the management, design arrangement and execution of training programs carried out or supported by IMACS.  The assistant will do this work in compliance with USAID regulations and Chemonics policy.

Responsibilities include: ensure short-term training events meet organizational and administrative quality goals, including all record keeping, data on participants and bills from vendors are complete, so that IMACS contract performance targets and deliverables are completed in a timely and cost-effective manner. Specifically the Training Assistant will carry out the following tasks, among others as needs dictate:

§  Coordinate logistical aspects of trainings including arranging travel, processing travel clearances, and fielding consultants.
§  Label and maintain all administrative and technical files in regards to trainings including travel clearances/itineraries, consultant transport and lodging information, and all other non-accounting related documentation.
§  Provide administrative support to the operations team and technical team.
§  Prepare brief reports of trainings and the financial report of the training(s) as required.
§  Assist the operations team in hosting project visitors and arranging meeting details.
§  Answer inquires and supply available project information from counterparts or work partners, as necessary
§  Help the operations team send monthly expenditure reports and back-ups to Chemonics’ home office
§  Fulfill other administrative functions as required



Qualifications:
· At least three years of experience working in administration and finance preferred.
· Experience working in event management preferred.
· Bachelor’s preferred or relevant experience.
· Strong communication skills, both interpersonal and written, to fulfill the technical and managerial responsibilities proposed.
· Strong English writing and speaking skills required.
