Jhpiego

Jhpiego, an international non-profit health organization affiliate of the Johns Hopkins University, builds global and local partnerships to enhance the quality of health care services for women and families around the world. Jhpiego is a global leader in the creation of innovative approaches to develop human resources for better health service.

The Jhpiego Indonesia programs are aimed to improve maternal and newborn health outcomes in Indonesia. In order to reach our goals, we are now recruiting some  Jakarta based positions  to be part of the Jhpiego Indonesia great team. 1)       Finance Manager  ( FM )
Department:                           Finance and Administration
Position Reports To:           Finance and Administration Director
Positions Supervised:         Finance Officers, Account Officer and Cashier 
Location:                                 Jakarta, Indonesia

Overview:

The Jhpiego Indonesia program is aimed to improve maternal and newborn health outcomes in Indonesia.  Jhpiego is currently implementing several programs in Indonesia with a variety of funding sources.  The Finance Manager will manage all financial aspects (budgeting, monitoring, and reporting) of several programs. As she/he will an overall responsibilities for the efficient operations of the finance division and ensure timely delivery of periodic financial reports to Finance and Adm. Director and other stakeholders with professional accounting standards and Jhpiego minimum Financial Standards. 

Responsibilities:

§  Manage QuickBooks monthly financial reporting process and present it to Finance & Administration Director for timely submission to Baltimore.
§  Manage the annual budgeting process for the program activities.
§  Manage/coordinate detailed program budget.
§  Review detailed activity budget for the program in consultation with the program staff and other technical team members.
§  Monitor and report expenditure against budget and funding obligations.
§  Oversee advance outstanding status and take immediate actions when necessary to minimize outstanding advances.
§  Provide guidance and advice regarding interpretation of applicable contract/subagrement, as well as other administrative rules, cost principles and regulations under OMB guidelines A-21, A133, A110 and 22 CFR Part 226.
§  Administer contract/sub agreement including preparing sub agreement/contract in coordination with Jhpiego contract manager.
§  Monitor, review and analyze the financial report of sub grantees on a monthly basis to ensure accuracy of financial information and provide feedback when necessary.
§  Review and approve petty cash expenditure.
§  Monitor consultant payments against contract ceiling.
§  Manage the monthly and annual statutory tax reporting process.
§  Actively participate in program planning/workplan meeting and Jhpiego Finance Team meetings.
§  Maintain financial and contractual documents.  
§  Work with internal and external auditor when necessary.

Qualifications/Knowledge, skills and experience:

Postgraduate degree in Finance/Accounting;
Minimum of 5 years experience as a Finance Manager;
 Good knowledge in Financial Management of NGO, specifically in project budget and financial reporting;
Understand of Indonesian Tax Regulations;
Excellent computer skill, especially MS Excel and knowledge of other Microsoft Office suite of programs;
Experience in using accounting software preferably QuickBooks;
Fluency in written and oral English is compulsory;
Demonstrated ability to coordinate, design and conduct training in financial management;
Experience and knowledge of managing development funds including submitting proposals, reporting on and acquitting of funds;
Diligent, honest and mature worker, willing to work under pressure;
 Able to work independently and under minimum supervision, but with a spirit of teamwork;
Strong communication and presentation skills and Tactful and excellent analytical thinking



2)    Finance Officer_LKBK  ( FO_LKBK )
Department:                           Finance and Administration
Position Reports To:           Finance and Administration Director
Positions Supervised:         none 
Work based :                           Lembaga Kesehatan Budi Kemuliaan office 

Overview:

The Jhpiego Indonesia program is aimed to improve maternal and newborn health outcomes in Indonesia.  Jhpiego is currently implementing EMAS_USAID programs in Indonesia.  The Finance Officer_LKBK  will manage all financial aspects (budgeting, monitoring, and reporting) within LKBK area. As she/he will an overall responsibilities for the efficient operations of the finance division and ensure timely delivery of periodic financial reports to Finance and Adm. with professional accounting standards and Jhpiego minimum Financial Standards. 

Responsibilities:

· Day to day Reviewing Payment, this include reviewing travel advance, travel expense reports, Vendors invoice and reimburse expenses upon authorization by the Supervisor and in accordance with USAID policies and procedures.
· Record and review of financial transactions related to programs activities and operations based on Budget Approved
· Preparing and Reporting expenses in accordance with Finance SOP also maintain hard-copy of finance report 
· Preparing Monthly cost Reimbursable Invoice for Submittal to Jhpiego 
· Liaise with LKBK’s Finance and Accounting staff on any queries relating to financial information supplied 
· Organize for regular maintenance of office equipment and inventories to ensure efficient functioning of offices.
· Maintain financial and contractual documents between Jhpiego and LKBK  
· Work with internal and external auditor when necessary.
· Assist program and technical staff in day to day activity that related to finance and admin within LKBK 

Qualifications/Knowledge, skills and experience:
·  Min.  Diploma degree in finance or accounting 
·  Minimum 2-3 years working experience and prior experience in an NGO / in project management and operations of USAID funded programs
·  Excellent computer skill (Microsoft Office applications including Excel, Word, power point ) 
·  Very good manage tight schedule as team player and good planner. 
·  Ability to problem solve, show initiative and work independently. 
·  Respond to requests, queries in timely manner and high initiative. 
·  Good information sharing/communication skills. 
·  Excellent self-motivation and initiative to establish working relationships across diverse projects.
·  Diligent, honest and mature worker, ability to effectively manage competing priorities and work under pressure
·  Able to work independently and under minimum supervision, but with a spirit of teamwork;

  
3)    Finance and Administration Assistant ( FAA )
       Position Reports To:         Accountant Officer
       Positions Supervised:        None
       Location:                                Jhpiego Jakarta Office


Overview:

The Finance & Admin. Assistant is expected to provide finance and administrative support to Jhpiego Indonesia. He/she will work closely with Accountant;  Procurement ; cashier and other finance staff in order to support finance & administrative within Jakarta office.

Responsibilities:

§ Preparing with Quick Book of payment and advance voucher 2 times a week
§ Entering financial and accounting data into Jhpiego accounting software ( Quick Book )
§ Maintaining financial records (receipt, voucher, invoice and etc.)
§ Finance Filling ( payment & advance voucher)
§ Quick Book Entering data ( write check ) by weekly 
§ Provide administration support as per requested 

Qualifications, Skills, and Attributes : 

·  Minimum Diploma III degree in finance, administration or related field
·  Minimum two years experience in administrative and financial managerial 
·  Demonstrated excellence in oral and written Indonesian language; English language proficiency preferred
·  Ability to work independently and to exercise independent judgment
·  Ability to ensure adherence to applicable laws and regulations
·  Has computer skills, and competency working with accounting software ( preferably Quick Book ) 
·  Demonstrated ability to exercise confidentiality and professionalism
·  Work based in Jakarta office
