The ASEAN-German Programme on Response to Climate Change:
Agriculture, Forestry and Related Sectors (GAP-CC) seeks 1 (one) qualified Office Manager

A.  Responsibilities

Ensuring good communication flow in the project/programmeorganizing and preparing administrational tasks for the superiorupdating contact information of the project/programme and informing the GIZ office about changesfiling documents in reference files or in DMS in line with GIZ’s filing rules 

B.  Tasks

1. Secretariat work and services 

organises and coordinates theschedule of the superior especially by managing the outlook calendar prepares and organises information materials manages incoming and outgoing correspondence (post, fax, email) and prioritises and organises itreplies and looks after correspondence participates in internal and external (team) meetings and workshops and assists with documenting these, e.g. by taking minutes
 
2. Office coordination, office management and general coordination

deals with annual and other leave requests for contracted experts coordinates and monitors schedules and ensures agreed blocks of time are kept clear for planned events coordinates and organises rooms for meetingscoordinates equipment etc. required for meetings with the responsible personcoordinating daily administrative processes of the project/programme 

3.  Administration

Assisting in administrative processes of the project/programme as neededCreates and maintains a filing system for the office, treats information confidentially, specifically in the areas of personnel and financeupdates the filing system daily with incoming and outgoing correspondencemaintains the inventory list for the office/project/programme

4.  General tasks

interprets and translates as requiredorganises and coordinates project support staff and works well with them

Other duties/additional tasks

organizes workshops, training and other events according to the project’s operational planorganizes
duty travel for the superiorprepares the travel expenses claim for the superiorCoordinates
and supervises the project driver and acts as superior of the driverperforms other duties and tasks at the request of management
