Greenpeace campaigns have been vital in informing government policies on the environment and effecting changes in business practices which lead to various environmental problems.

Greenpeace in Southeast Asia

Greenpeace opened our first office in Southeast Asia in 2000. In that time we have led successful campaigns throughout the region, securing fresher air, cleaner water and a healthier environment through changing industry practices and government policies. Greenpeace actively campaigns across the region to catalyze an energy revolution, protect ancient forests and our oceans, create a toxics-free future and create a shift to sustainable agriculture.

Greenpeace has three offices in Southeast Asia—in Thailand, Indonesia and the Philippines and each office is composed of five departments: Campaigns, Fundraising, Communications, Mass Mobilization and Organizational Support.  Currently, Greenpeace has more than a 140 staff across the region, excluding the direct dialogue fundraisers.




THE POST: ASSISTANT TO GLOBAL PROJECT LEADER OF INDONESIA FOREST
                                    
Job Summary:

The purpose of the role is to provide administrative and organizational assistance to the Global Forests Campaign Project Leader (PL) as well as the campaign team in order to enable the effective functioning of the Forests campaign unit in accordance with the campaign strategy.  The role requires an individual with a professional, intelligent and proactive approach, capable of working with a high degree of autonomy, a positive attitude and extensive attention to detail.  The job also requires professional sensitivity as well as maturity in day-to-day dealings with stakeholders and colleagues. Ideally, the individual should have extensive professional experience in this or in a similar role.
This is full time based position with intial 1.5 years fixed terms
Main Responsibilities:
1.       Project Leader (PL) Support
·         Manage all matters relating to the administration of the PL’s agenda and obligations according to good business practice, to enable him to work efficiently and effectively.
·         Organise travel and appointments for the PL, optimising use of time in a given location.
·         Monitor and prioritize PL’s correspondence and initiate draft responses when needed.

2.       Campaign Support
·         Arrange, co-ordinate and assist with all aspects of campaign meetings as directed, within budgetary constraints to enable efficient and effective delivery of meetings. Includes organizing venues, ensuring availability of meeting supplies, minute-taking and active follow-up on action points from meetings.
·         Act as proofreader of documents, presentations, correspondence when necessary and do translations of documents from Bahasa to English and vice versa.
·         Keep an inventory of campaign materials. Organize distribution of campaign materials.

3.       Communication
·         Act as first point of contact for internal and external queries/requests to the PL and keep informed of organisational developments in order to filter communication to the PL and the team.
·         Respond to internal and external requests for information.  Ensure accurate and relevant campaign information is easily accessible.

4.       Administration
·         Do the administration of mailing lists and ensure contact lists are updated.
·         Maintain a filing system.
·         Ensure team’s time sheets are done in an accurate and timely manner.

Qualifications
·         Bachelor Degree from an established educational centre
·         At least  5 years of relevant Executive Assistant support to more than one senior person
·         Positive attitude
·         Has the ability to communicate to an international and national team in a clear and concise manner

·         Demonstrates excellent oral and written communication skills in English and Bahasa
·         Has ability to initiate and compose own correspondence

THINGS YOU SHOULD KNOW BEFORE APPLYING TO THIS POST

WORKING HOURS
Normal hours of work for full time Employee will be forty (40) per week or (5) days in a week, at 8 hours per day excluding an hour lunch break. This will be from Monday to Friday, between the hours of 9:00 am to 6: 00 pm.Ordinary hours of work may be varied as agreed between staff and the line managers.

LEAVE
A permanent employee will be entitled to the following leaves:
Annual Leave: 20 days
Parental Leave:  As per labor laws and Greenpeace policy
Long Service Leave: 2 months paid leave after 5 years of continuous service
                Compassionate leave: maximum of 5 days for the death of significant others

SALARY
In determining salary offer for this position, Greenpeace applies its Salary Grading Process, taking into consideration the job description and applicant’s previous experience, and the organization’s salary grade.

, life/PA/TPD and travel insurance to its employees.
