WWF US Regional Program Office (RPO) in Jakarta is currently seeking for a Bookkeeper. There are 2 projects under the RPO, namely Coral Triangle Support Partnership (CTSP) and Marine Protected Areas Governance (MPAG). Both are USAID funded project. Please find below the TOR for the mentioned position above: 

Job Title: Field Office Bookkeeper 
Job Type: Full-Time 
Location: Jakarta, Indonesia 
 
1.Major Function
Under the direction of the Chiefs of Party for the Coral Triangle Support Partnership (CTSP) and Marine Protected Areas Governance (MPAG) projects, and working closely with the Program Coordinator for the Coral Triangle, the senior bookkeeper will be responsible for providing effective financial and administrative support to the Regional Program Office (RPO) team and ensuring compliance with WWF-US and WWF-Indonesia policies and procedures. 

2.Major Duties & Responsibilities
A.Maintain close relationship with WWF-Indonesia staff members who provide support to the CTSP and MPAG offices (collectively, the RPO) for local staff payroll, office space rental and maintenance, and other services as required. This person will serve as the key facilitator for finance and operations tasks, as well as obtain and follow up on required approvals and instructions to enable successful working relationships between the RPO, WWF-Indonesia, and WWF-US headquarters. 

B.Prepare accounting forms and expense reports for approval, secure signatures, and distribute documents to appropriate parties. Maintain information and files pertaining to consultant and vendor agreements, payment requests and expense reports.  Collect, record, and submit scanned receipts for invoices, expense reports, and PNC credit card charges. Organize all receipts, bank statements and other supporting documentation for audit purposes.  

C.Maintain petty cash account by processing request forms, tracking expenditures, collecting and recording receipts, and submitting a weekly journal report to WWF-US. Reconcile cash balance in the safe each month.

D.Ensure that recurring bills (including but not limited to rent, electricity, landline phone, staff mobile phone) are paid on time. Liaise with vendors to correct errors or lapses in service.

E.Interface with the Kofax accounting software to: upload invoices for payments; code (add cost centers to) the expenses, and track the status of payments, ensuring vendors and travelers are paid in an expeditious manner.

F.Facilitate agreement issuance for local consultants in coordination with WWF-Indonesia. Prepare pre-award screening documents, Agreements Information Forms (AIFs) and monitor compliance with agreement terms. Ensure local agreements and payments are processed in a timely manner, in accordance with WWF policy and procedures. 

G.Support RPO staff in accomplishing finance-related tasks (e.g., paying a vendor or consultant, obtaining a travel advance) while complying with WWF policy by clearly delineating the timeline, procedures, and processes to RPO staff. 

H.Use Bridger software in accordance with WWF procedures to ensure compliance with the US Anti-Terrorism Act requirements for direct payments to vendors and contractors from local funds.

I.Provide support to the management and coordination of day-to-day administrative operations of the RPO. 

J.Perform other duties as may be required.

Minimum Requirements (ALL of the following must be met):
•Minimum 3 year degree or equivalent in bookkeeping, administrative management or related field;
•Experience (preferably 3 years) in bookkeeping or administrative management, preferably with an NGO or USAID project;
•Proficient text and spreadsheet processing skills;
•Initiative and analytical judgment;
•Integrity and honesty;
•Proven ability to meet deadlines and operate effectively in a deadline-driven environment;
•Flexible, resilient, able to perform in stressful situations; 
•Strong communication skills, ability to work in a team and interact effectively across distances and cultures;
•Very good to excellent working knowledge of English and Bahasa Indonesia.

Availability and Duration
The position is full-time and offered for a one year period with some possibility of renewal.
