Senior Operation Coordinator for SLP
Responsibilities:

1.     Financial/Budget  Management
 
a.    Help generate and double-check the project monthly cash request, payments, and expenditures of the SLP field           offices and Jakarta office.
b.   Ensure that SLP expenses are allocated to the correct donor codes.
c.   Provide oversight for the expenditure of funds, ensuring that funds are expended according to CI’s and donor’s            requirements and are aligned with the SLP work plan and budget.
d.  Ensure that SLP Jakarta and field-based staff know about and are in compliance with financial management                  requirements.
e.  Review voucher transactions and petty cash disbursements and bank transfers prepared by SLP’s Jakarta and            Medan offices.
f.   Review and maintain a tracker of cash advance requests.
g.  Review Agresso finance screens to ensure that work is entered properly and in a timely manner by SLP’s field              office administrative staff.
h.   Provide training and technical support to SLP operations staffs in financial management, internal controls, and              budgeting. 
i.    Supervise, support, and evaluate performance of Field Operations Coordinators (Jakarta based and field based            staff).
j.    Comply to any other CII financial management requirements, as applicable.
 
 

2.     Administrative Management and Operations
a.    Ensure all SLP staff have access to and are familiar with CI Policies and Procedures.
b.    Train staff and monitor SLP procurement to ensure compliance with CI’s and donor’s procedures.
c.    Ensure that equipment and supplies are correctly inventoried and that inventory records are up-to-date at all                 times.
d.    Develop and maintain effective and efficient systems for the SLP site offices.
e.    Support and monitor SLP team travel arrangement and travel plan
f.     Develop and maintain SLP filing system and documentation as well as activity agenda.
g.    Oversee program close-out at end of program, including proper transfer/disposition of equipment and other                  inventory in compliance with CI and USAID regulations, closing out office contracts, closing out payments and filing      of administrative and finance files.
 
3.     Occasional Significant Duties.
             Any related tasks as requested by supervisor.

Qualifications:
 
Educations:
§  Bachelor Degree in Finance/ Accounting
 
Experience & Skill:
      §  6-10 years related work experience
  • At least 3 years of experience in a similar role
  • Experiences in developing/training in finance systems and operations procedures
  • Accounting/ financial management technical background and professional working experience
  • Excellent communication/interpersonal skills including good verbal and writing ability in English and fluency in        Indonesian. 
  • Computer skills including Microsoft suite of programs and other relevant financial systems.
  • Exceptional organizational skills.

Preferred:
§  Experience in managing a USAID project
